Who we are

Arcus Helicopters Limited (company number 10881350), Nottingham Airport, Tollerton Lane, Tollerton, Nottingham NG12 4GA is the data controller for the personal information described in this policy.

What we collect

We only collect what we need to answer you and to deliver the training, hire, brokerage or charter arrangements you ask for.

When you use a form on this site

Your name, email address, telephone number, the area of interest you select and anything you write in the message. The charter enquiry form also collects your route, dates, passenger numbers, luggage and any special requirements. As well as emailing your enquiry to us, the website saves a copy of each submission in its own database so that an enquiry cannot be lost in transit. These stored copies are kept for the periods set out under How long we keep it below, and are then deleted.

When you buy a trial lesson

Your billing details, order details and, where you are buying a gift, the recipient name and gift message you provide. Card payments are handled by WooPayments, which is provided by WooCommerce and built in partnership with Stripe. Your card details are entered directly with them and your full card number is never stored on this website.

When you become a student or hirer

Licence, medical, logbook, experience and identity details needed to meet aviation and insurance requirements.

Automatically

Standard server logs including IP address, browser type and pages visited, used for security and to keep the site working.

Why we use it, and our lawful basis

• To respond to your enquiry – legitimate interests, so that we can answer people who contact us.
• To provide training, hire or a booked experience – performance of a contract with you.
• To meet aviation, safety and insurance obligations – legal obligation and legitimate interests.
• To keep records for accounting and tax – legal obligation.
• To send marketing – consent, which you can withdraw at any time.
• To detect and block spam and fraud – legitimate interests.

Who we share it with

We do not sell your personal information. We share it only with organisations that help us run the business, and only as far as they need it:

• Our website host and email provider.
• Akismet (Automattic Inc.), which checks form submissions for spam. This involves sending the submission and your IP address for checking.
• Google Maps, which serves the map embedded on our contact page.
• WooPayments, provided by WooCommerce (Automattic Inc.) and built in partnership with Stripe, which processes card payments for trial-lesson purchases and checks them for fraud.
• Licensed third-party charter operators, where you ask us to arrange a flight and only with the details needed to obtain a quote.
• The UK Civil Aviation Authority, examiners and insurers, where required for training and licensing.
• Our accountants and professional advisers.

Some of these providers are based outside the UK. Where that happens we rely on the appropriate safeguards permitted under UK data protection law.

How long we keep it

Enquiries that do not lead to a booking are kept for up to two years and then deleted. Customer, student and financial records are kept for at least six years to meet accounting and tax requirements. Training and licensing records are kept for as long as aviation regulation and insurance require.

Your rights

Under UK data protection law you can ask us to give you a copy of your information, correct it, delete it, restrict how we use it, or transfer it. You can object to processing based on legitimate interests, and you can withdraw consent to marketing at any time.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Security

The site runs over HTTPS and access to personal information is limited to the people at Arcus who need it. No system can be guaranteed completely secure, but we take reasonable technical and organisational measures to protect your information.

Children

This website is not aimed at children. Where a person under 18 trains with us, we deal with a parent or guardian for the information we need.

Changes

If we change this policy we will update the date at the top of this page.
